When do you order wedding candles so the confirmations fit in too?

You’ve set the date, you have the dress, you have the venue. The candles stayed somewhere low on the list, between the wedding favours and the little candles for the tables, and now they’ve suddenly jumped to first place because someone asked you whether you’ve got them yet.

Two weeks ahead is enough. The problem isn’t how long it takes us in the workshop, but how many round trips still fit before the wedding: the order, the phone call in which we settle the text, the personalisation, the photos we send you, your reply to them, the courier. Each of these steps needs someone else, and twice that someone else is you. And if something happens on the way, the last step is ours: the "Nu-i bai" guarantee replaces the product.

I’m Sînziana. From last year’s event orders, the order comes in seven to fourteen days before the date. It isn’t a mistake and it isn’t bad news. It’s just an interval in which there’s no longer room for the same mistake twice, and below is how to count it properly, from the wedding date backwards.

When do you order wedding candles, really?

You order on the day you have the names spelt correctly and the date fixed, not on the day you have time. Those two pieces of information are all we need to start, and until you have them, an order placed early stands still exactly like one placed late.

The countdown doesn’t start from the day you press "place order". It starts from the wedding day and runs backwards, because each step has its own deadline and none of them can begin before the one before it has finished.

How far ahead do you order the candles, if the date is fixed?

You count backwards from the wedding date, in working days, and leave a margin at the end. This is what the chain looks like, in the order in which it actually unfolds:

The moment What happens Who it depends on
The wedding day — —
2 days before Our target: the set is already with you, not on the way your margin
4 to 6 days before The parcel is with the courier, courier delivery in 2–4 working days the courier
If it gets damaged on the way We replace it through the "Nu-i bai" guarantee — it covers the parcel, not the calendar us
The day before dispatch We send you photos on WhatsApp and dispatch after you confirm you
Before the photos The personalisation itself: 1–3 working days for personalised models and those with an image, 1–7 for decorated ones the workshop
Before the personalisation We call you and settle the exact text: how the names are spelt, the diacritics, how it sits on the candle you
The day of the order You choose the model, write the names and the date you

The step that surprises people most often is the second from the bottom. We don’t start work straight from what’s written in the order: we call you first and settle the exact text, and only after that call does the personalisation begin. It’s five minutes that move a mistake from the wax to the phone, but they need you to answer.

The estimated delivery date appears on each product page, before you order. Look at it first and only then at the calendar, because it differs from one model to another.

One thing that’s almost always forgotten: we work Monday to Friday, between 08:00 and 16:30 (Romanian time). Ten calendar days that take in two weekends are six working days. If the wedding is on a Saturday, the last day on which anything can still happen is Wednesday. We’d rather not get there, and we work with a margin of seven days, so there’s still room for one trip back if it’s needed.

What happens in the seven days before the wedding

Everything you put off for "when I have time" happens. The replies from the guests, paying the venue, the music, the flowers, the trips to the hairdresser, the relatives who call. It’s the only week in the whole process in which you’re least available.

That’s why it matters where the steps that depend on you fall. If the photo with your names arrives on WhatsApp on the day you make three trips across town, it sits unread until the evening, and that day has gone from the calendar without anyone making any mistake.

When you count backwards, don’t count only days. Count the days on which you can actually reply within two hours, too.

What do you do if you have less than ten days?

Write to us before you place the order, on WhatsApp, at +40 726 162 810 (we answer in English), with the wedding date and the model you like. We’ll tell you whether it fits, and if it doesn’t, we’ll tell you that just as quickly.

I’m not promising you it can be done, because I don’t know what’s in the works that week. What I can promise you is that you’ll find out before you pay, not after. The personalisation needs 1 to 3 working days for personalised models and those with an image, and 1 to 7 for decorated ones — where you fall depends on how many orders are in the works at the time. The courier is added on top, so the sum takes five minutes, in writing.

If it doesn’t fit, there’s another option that more people choose than you’d think: a model from our range, without printed names. It leaves sooner, because it skips exactly the two steps that need your confirmation.

The calendar fills up with confirmations, not with production

What eats up the most time in a wedding order isn’t the pouring. It’s the exchange of messages between us and you, in which it’s settled exactly what you’ll receive.

Pouring and decorating have a deadline that can be written in a table. A reply to a message doesn’t, because it depends on a day in your life that nobody in the workshop can see.

How many confirmations fit into a personalised order?

Two, and both depend on you. The first is the phone call before we start work, in which we settle the text. The second is the photos before dispatch: we send you the personalised candles on WhatsApp and dispatch only after you write to us that it’s fine.

Both are moments in which a wrong letter still costs nothing. A third doesn’t exist: personalised products are exempt by law from withdrawal within 14 days, and what that means and doesn’t mean we’ve written about at length in the article on the difference between wedding candles and christening candles.

Once the parcel has left, the same letter means repeating the whole chain: the phone call again, the personalisation again, the photos again, the courier again. It isn’t a punishment, it’s simply the same road a second time, and the road is as long as it was the first time.

Why do we send photos on WhatsApp before we deliver?

So that you see what you’ll receive, not what you ordered. They’re different things, and the difference only shows when your names are actually sitting on the candle, at the size at which they sit there.

In the reviews we receive, the words that come back most often aren’t about how the candle looks. They’re promptness and quality, one beside the other. People don’t write that we were fast. They write that they knew where they stood.

Personalisation with names and date is free on the models in our range, so this step doesn’t cost you money. It only costs one careful reading, once.

If you want to see a set taken all the way through, with all the steps above, we’ve written how a wedding set came together this year.

What delays things most often isn’t the workshop

It’s the unread message. The order comes in on Tuesday, the personalisation is done, the photos go out on Thursday morning, and the reply comes on Monday. Four days have gone, and we haven’t used a single one of them.

This isn’t a reproach, it’s an observation I make so you know where to protect yourself. If you’re hard to reach in those weeks, tell us at the start whom to call instead of you: a sister, a sister-in-law, someone who has the phone in their hand and knows how the groom’s name is spelt.

The reality check, so you don’t find it out on delivery day: we aren’t immune either. A parcel can be delayed on the way for reasons that have nothing to do with you or with us. Our "Nu-i bai" guarantee covers what gets damaged in transport and handling, and we replace the product. It doesn’t cover the calendar. That’s why the two-day margin at the end of the countdown isn’t an exaggeration.

What does the season change in the real deadlines?

It changes the queue, not the process. Personalising a set takes the same time in February and in October, but in October there are more sets ahead of yours.

For us, the wedding season starts after Easter and lasts until November. The busiest months last year were September and October, measured on our orders, not assumed.

Which are the weeks in which we can no longer promise?

The ones in September and October, in which most of the events come together. It doesn’t mean we don’t work, it means that a deadline given by eye, on the phone, on one of those days, is a deadline I might not keep.

We’d rather say no than promise a date we won’t keep. A refused order sends you to look elsewhere two weeks in advance. An order accepted and delivered on Monday, for a Saturday wedding, can’t be put right with any apology.

If your wedding is at the peak of the season, the right order is different: first you write to us with the date, then you choose the model. Not the other way round.

What can no longer be changed once the personalisation starts

The names, the date and how they’re laid out. Once printed, the text no longer comes off — it’s impregnated into the wax, it doesn’t sit stuck on the surface — so any change means a new set and a new calendar.

What can be changed at no cost, up to the confirmation call: the model, the colour, the number of pieces. What can’t be done at all, whatever the moment: personalisation doesn’t take on every surface. The criterion is the relief, not the material — on beeswax honeycomb and on fluted models the text doesn’t sit evenly, so those stay plain. If you liked a honeycomb or a fluted model and want the names on it, I’m telling you now that it doesn’t work, so you don’t discover it after you’ve built the whole decor around it.

How do you give yourself a margin of a few days?

You move the target date two days earlier than the wedding day and work with that date in all your sums. That’s all. It isn’t a trick, it’s the only thing that saves you when something falls out of the calendar.

The margin has a role you only see when you use it: it gives you the right not to answer a message within the same hour. Without it, every step of yours becomes urgent and every weekend day becomes a problem.

What you do in the next two days

You open the calendar, look at the wedding day and count backwards using the table above, with working days, not calendar days. You get a concrete deadline. That’s the day on which the order has to be placed, and it’s usually earlier than you thought and later than you feared.

What do you start with today?

You start with the names spelt correctly, exactly as they’ll appear on the candle, and with the date in the form in which you want it printed. You write them in a message, to yourself or to us, and read them twice.

It seems a small thing, but this is exactly where something goes wrong most often: a missing diacritic, a surname written the way it’s pronounced, a date with the month and the day swapped. All of them are caught in three seconds now, and none of them is caught cheaply once the parcel has left.

What to put in the first message

Four things, so you get a deadline straight away, not after three exchanges of messages:

  • The date of the event, not "at the end of September".
  • The model you like, or its link.
  • The names and the date, exactly as you want them printed, with diacritics.
  • The delivery town, because the courier days depend on it.

Write to us on WhatsApp at +40 726 162 810 (we answer in English), Monday to Friday, 08:00 to 16:30 (Romanian time). You get back a number of days, not a general promise, and you get it early enough to still choose something else if the answer is no.

How far ahead do I order if the wedding is in September?

Earlier than in the rest of the year, because September and October are the months with the most events for us. Write to us with the date before you choose the model and we’ll tell you what fits into your timeframe. Outside the peak season, two weeks are usually enough, courier included.

Can I change the names or the date after I’ve ordered?

Yes. We settle them on the phone anyway, before we start work, and then you see them once more when we send you the photos on WhatsApp. Once the text is printed it can’t be undone, so a change means a new set. That’s why there are two stops before dispatch, not one after it.

Can my model be personalised, or am I doing the sums for nothing?

Ask before you count the days, because the answer changes your calendar. Models with a smooth surface are personalised — the criterion is the relief, not the material — while honeycomb and fluted models stay plain. If yours can’t be personalised, both confirmation steps fall away and you’re left with just the courier days.

What do I do if there are only five days left until the wedding?

Write to us on WhatsApp before you place the order, with the exact date. We’ll tell you whether it can be done or not on the same working day. If it can’t be done with personalisation, we’ll tell you which model from our range leaves without the confirmation steps and how long the courier takes to reach you.

Does the order go to a parcel locker or only to an address?

It goes wherever you choose when you complete the order. We deliver through SAMEDAY, DPD or GLS, courier delivery in 2–4 working days, and the estimated date appears on the product page before you order.
